|Performs administrative and customer service work involving the scheduling and booking of events for Leu Gardens or Centroplex facilities. An employee assigned to this classification provides information regarding the facilities, rental rates, policies and procedures, schedules and books events, issues contracts, collects fees and prepares related reports. Work is performed under the supervision of the Leu Gardens Director or Convention Sales and Booking Coordinator and performance is reviewed through reports submitted, conferences, accuracy of contracts, and results obtained.|
|Provides information to potential clients regarding facilities, rental fees, services provided and applicable policies in order to encourage the use of facilities for a wide variety of events.
Schedules and books public events and meeting rooms in accordance with departmental policy; prepares contracts and submits to clients for review and signature.
Follows?up with clients to finalize booking dates and ensure that contracts, deposits, and insurance documents are received and processed according to departmental policy.
Maintains event function books and prepares and distributes weekly calendar of events for each facility; notifies clients of potential scheduling conflicts and provides advice regarding alternatives.
Assists with preparation of monthly event calendars and convention sales activities.
Compiles data, conducts research, prepares reports and performs various other administrative tasks; maintains database files.
May participate in the development of marketing programs and promotional material for facilities.
Performs other duties as assigned.
|Knowledge of the general operation of various public assembly facilities relative to scheduling, set-up, tear?down and move-out requirements.
Knowledge of personal computers and database, spreadsheet, and wordprocessing applications.
Knowledge of sales, public relations, and marketing principles and practices.
Ability to deal effectively with difficult and stressful situations.
Ability to express ideas clearly and concisely both orally and in writing.
Ability to establish and maintain effective relationships with clients, staff, and the general public.
Ability to review and explain contract documents.
Ability to plan and organize events accurately and efficiently.
Ability to operate personal computer, calculator, and related office equipment.
|Two years college with courses in business management sales, public relations or related field, plus a minimum of two (2) years experience in sales or marketing preferably in a major public assembly facility such as an arena, civic center or convention center; or an equivalent combination of education, training and experience.|
