|LEGAL SECRETARY II|
|Performs specialized secretarial work requiring knowledge of legal procedures, terminology and forms. The employee performs complex and confidential secretarial assignments for two or more City attorneys. Work is of more than average difficulty and might be in a particular area of emphasis such as criminal law, litigation, pension, real property (acquisition and disposition), labor and personnel, environmental regulation, construction matters, professional services, contracts and leases, depending on the attorney to which assigned. The legal nature of work requires that all tasks be performed accurately and in strict conformance with established policies and procedures as well as court requirements. Work is performed under attorney supervision.
Employee is expected to exercise initiative and independent judgment in responding to inquiries from municipal employees, department managers, outside attorneys and the general public, in personally addressing administrative matters which do not involve policy determinations, and in recognizing and immediately bringing to attorney's attention priority matters.
|Maintains two or more attorney's calendars, making appointments with the Mayor, City Commissioners, department directors, other attorneys, witnesses, etc., scheduling hearings and meetings, and making travel arrangements for all trips, as required.
Maintains files, updates code books, law books and all other reference materials used by attorneys.
Transcribes dictation of legal documents such as ordinances, legal opinions, agreements, resolutions, real estate closing documents, interrogatories, briefs, affidavits and other pleadings.
Prepares legal forms such as subpoenas for deposition and trial, notices of hearing, deposition and trial, and drafts of proposed legislation.
Prepares monthly reports.
Performs related work as required.
|Superior knowledge of proper English spelling, grammar and punctuation, and considerable knowledge of Latin legal terms used daily in legal documents.
Considerable knowledge of law office practices and procedures.
Considerable knowledge of legal terminology and forms, legal citation system, and court procedures, structures and functions.
Sufficient knowledge of law library to enable employee to do basic to intermediate research such as locating case and administrative law citations when requested by attorney.
Knowledge of municipal government structure, policies, programs and procedures.
Knowledge of personal computers with specific knowledge of Microsoft Word highly desired.
Ability to understand and follow complex oral and written instructions.
Ability to compose, edit and correct draft correspondence, reports and documents for final production.
Ability to take dictation at 80-100 wpm and to type 60 cwpm.
Ability to establish and maintain effective working relationships with co-workers, municipal officials and the general public.
|High school graduate, preferably supplemented by legal secretarial courses and a minimum of three (3) years secretarial experience, six (6) months of which must have been as a Legal Secretary; or an equivalent combination of training and experience. Must type 60 cwpm and pass 80/l00 dictation test.

Last two annual performance evaluations must have resulted in an overall Exceeds Standards rating or better with no rating of less than Meets Standards. Must contribute significantly to meeting the overall goals of the Office and the mission of the City.
