| Performs administrative and public contact work of a confidential nature in providing administrative support services to the Mayor. Work is reviewed through observation, conferences, and evaluation of results achieved. | |

Maintains Mayor's calendar and schedules appointments; advises Mayor and staff of important meetings; makes travel arrangements; greets and handles each of Mayor's appointments and guests.
Reviews and coordinates responses to invitations received by the Mayor; coordinates and schedules appearances and speaking arrangements for Mayor.
Organizes and assembles material needed for meetings, conferences, and public hearings, and coordinates scheduling arrangements.
Compiles and completes data for administrative and public reports and other documents.
Administers signature, action, and reading files for Mayor.
Supervises Staff Assistant and interns; participates in the selection, training, appraisal and/or discipline.
Receives, interviews, screens and refers callers, answering varied inquiries personally, and explaining basic policies and procedures.
Composes and types correspondence as needed.
Establishes and maintains a comprehensive filling system.
Meets with constituents on Mayor's behalf where applicable.
Maintains time and attendance records and prepares payroll for Mayor's office.
Usually serves as first line of logical support for Mayor. | |

Thorough knowledge of Business English, spelling, and punctuation.
Thorough knowledge of modern office practices, procedures, systems, and equipment.
Thorough knowledge of filing systems and records management.
Knowledge of organizational operations and procedures.
Skill in the operation of office equipment including adding machines, typewriter, word processors, and reproduction machines.
Ability to exercise judgment and discretion in applying and interpreting organizational rules, regulations, policies and procedures.
Ability to perform routine administrative support activities; research and compile data; and prepare correspondence and reports.
Ability to establish and maintain effective working relationships. | |

Associate's Degree in Public Relations and four (4) or more years administrative experience required; or an equivalent combination of education, training, and experience. Experience in appointment scheduling and/or public relations preferred.
